Of the major Microsoft 365 surfaces, email is the one with the most built-in options. Three realistic paths, depending on what you actually need.

mydocs.school doesn't currently export Outlook email — we focus on OneDrive and OneNote, the workloads most often lost. This page is here so you have the realistic alternatives in one place.

Path 1 — Forward to a personal address

Set up an Outlook rule that forwards new emails to your personal Gmail / Outlook / iCloud address. In Outlook on the web: Settings > Mail > Forwarding. Some schools disable external forwarding by policy — check whether you can enable it before assuming this is the path.

Forwarding catches future mail only. For historical mail, combine with one of the other paths.

Path 2 — PST export (most complete)

Outlook for Windows can export an entire mailbox to a single .pst archive file: File > Open & Export > Import/Export > Export to a file > Outlook Data File (.pst). Pick the root of your mailbox to capture every folder, including Sent and Archive.

The .pst can be imported into another Outlook account later, or opened with mail-archive viewers if you don't have Outlook. For a typical 5-year school inbox, the .pst is usually 200 MB to 2 GB depending on attachment volume.

Outlook for Mac doesn't do .pst export. If you only have a Mac, install Outlook for Windows in a virtual machine, or use a third-party tool, or use the alumni-account path below.

Path 3 — Alumni account

Some institutions — particularly universities — offer alumni accounts that keep your email address alive after you leave, often with a downgraded mailbox. You don't download the email anywhere; you keep accessing the same account at reduced quota. Check your university's IT services page for whether this is offered.

Schools and colleges rarely offer alumni accounts; this path is mostly a university option.

What to do before you export

  • Reply to anything you need to. Once your account closes, threads break.
  • Update important contacts. Tell anyone who regularly emails you the new address before forwarding stops working.
  • Save attachments separately. The big ones might be OneDrive links that break.
  • Export your contacts. Outlook > People > Manage > Export contacts. Or sync them to a personal account first.
  • Note your subscriptions. Anything tied to your school email — software trials, GitHub Education, Spotify Student — needs an email change before the account closes.

While you're at it

If you're here for email, you're probably also losing the OneDrive and OneNote work that sits on the same account. The OneNote class notebooks especially are the workload most leavers regret losing. The sign-in is the same — sign in once with your school account and pull everything in one go.

Does mydocs.school export Outlook email?
No, not at present. Email is the workload most institutions handle well — Outlook has its own export, many universities offer alumni email, and forwarding is straightforward. mydocs.school focuses on OneDrive and OneNote, which are the workloads most often lost. If email support is something you'd value, drop us a line.
What's a PST file?
An Outlook archive file format. Microsoft's desktop Outlook (Windows) can export your entire mailbox to a single .pst file, which you can later import into another Outlook account or open in archive tools. PST export is the most complete email archive option but needs Outlook for Windows.
Can I just forward everything to a personal address?
Forwarding only works for emails that arrive after the rule is set up — it doesn't catch your historical inbox. For the historical mail, use PST export or a third-party archive tool. For future mail, set up forwarding before your account closes.
What about attachments?
Attachments travel with the email. PST export preserves them, forwarding preserves them, and most archive tools preserve them. If an attachment was a big file, it might have been an attachment-as-OneDrive-link rather than a real attachment — those break when the OneDrive file is deleted. Save important attachments separately into your OneDrive before exporting OneDrive itself.
