  • Cancel any time. Existing downloads are unaffected; new sign-ins pause at the end of the term.

How licensing works

What counts as a seat

A seat is consumed the first time a leaver starts a download. Browsing the dashboard, signing in, or previewing notebooks does not use a seat — only an actual OneDrive or OneNote download.

The 60-day hold

Once claimed, a seat is held for that leaver for 60 days. This gives them time to come back, fix a failed download, or pull missed notebooks without burning another seat. After 60 days the seat is automatically released and returns to your pool.

Trial vs. paid

Every school starts on a 30-day free trial with up to 25 seats. When the trial ends, downloads pause until you purchase a subscription. Buying a subscription does not reset the trial — claimed seats carry over.

Running out of seats

If every seat is in use, additional leavers see a read-only dashboard with your IT contact email until a seat frees up — either auto-released 60 days after first download, or after you increase the seat count on the billing page (which raises the cap, freeing room for a fresh claim).

Changing seat count

You can increase or decrease seats at any time on the billing page. Increases are invoiced immediately, prorated for the rest of the year. Decreases apply at renewal — the prorated credit lands on your next invoice, with no out-of-cycle refund.

  • Self-service download portal for every student in your tenant. They sign in with their school Microsoft account and get a clean copy of their OneDrive and their personal & class OneNote work in one zip.
  • Audit trail — who downloaded what, when. Searchable from the school admin dashboard.
  • School admin dashboard for seat usage, billing state, and downloading the receipt for finance.
  • Privacy boundary on class notebooks — students only see their own section group, never teacher pages or peer work. Enforced by SharePoint ACLs and re-asserted in code.
  • Data Processing Agreement available on request.

Common pricing questions

What counts as a seat?
A seat is consumed the first time a leaver starts a download. It's held for 60 days and then automatically released. If two leavers download in the same 60-day window, that's two seats. If a single leaver downloads three times within 60 days, that's still one seat.
How do I pay?
By card or by invoice. UK VAT is added at checkout where applicable. We're happy to send a quote that procurement can match against a purchase order.
What's included in the free trial?
30 days and 25 seats. Long enough to ask a handful of leavers to try it before any payment changes hands. The trial ends automatically — no card on file, no surprise charge.
Is there a minimum spend?
No. The smallest paid subscription is one seat. Most schools end up buying somewhere between 80 and 400 seats based on their leaver cohort size.
Can we get a discount for multi-year commitments or large cohorts?
Email [email protected] with the seat count you're looking at. We're a small team and price honestly — if there's a sensible discount to offer for a multi-year commitment, we'll offer it without you having to push for it.
